How to create Filter profiles

Filter templates can be used to specify configurations for identifying translatable text in a document. Administrators can create templates for use by Project Managers, greatly improving productivity.
The feature can be used for Excel files (.xlsx, .xlsm, .xls). Support for additional file types will follow soon, and additional information can be found in the release notes.
Depending on the chosen criteria, users can decide whether to localize:

  • Sheet names
  • Comments
  • Hyperlinks
  • Text in hidden sheets
  • Text in hidden cells and rows
  • Formulas
  • Conditional formatting
  • Numbers
  • Text in specified columns
  • Text in a specified color (multiple colors can be selected)
  • Text with applied style (e.g. bold)
  • Text using custom variables (regular expressions)

Filter templates include additional options under the Other section, such as:

  • HTML processing
  • Whitespace processing
  • Including XLSX/XLSM files

HTML tags can be shown in XTM Workbench as inline tags if the HTML processing checkbox is selected. By default, whitespaces are normalized. Users now have the option to retain whitespace if needed. It should be noted that changing how whitespace is processed also influences matching.
Filter templates can be created for all customers or a specific customer. They can be configured to work out of the box for any project created for all or specific customers (default), or to be selected manually during project creation (custom).

How to create a default Filter template
In the following example, a Filter template is created for an Excel file (monolingual), where certain conditions are met:

  • Only text in columns D and E will be translated
  • Text marked red will be excluded from translation
  • Thanks to regular expressions, a specific text fragment can be converted into an inline tag – such as [APAC] in our example

1. Select the configuration gear icon and go to the Filter templates tab. Select + Create Filter template.

2. The New Filter Template popup opens up. Select Default from the Configuration Type dropdown and then the Create and add Filter button.

3. Select MS Office Excel from the dropdown and then the Create filter button.

4. To localize specific columns: In the General configuration > Translate section, type D-E in the Only text in columns input field.

5. To exclude the text marked red: In the General configuration > Translate section, select the field Only text in font color and then select the Exclude checkbox.

6. To convert the specific text into an inline tag using custom variables: In the Custom variables section, type the name of your regular expression and the regular expression pattern. This is then shown as an inline tag in the docked panel in XTM Workbench.

7. You can change Filter templates at any point in time during the project from the General info > Filter template dropdown. In this case, the project needs to be reanalyzed for the new Filter Template to be effective.
